Privacy and cookies

This notice explains how personal information is collected, used and protected when you visit the Borrowed Mirrors website, contact us, contribute to the inquiry or attend a Borrowed Mirrors gathering.

Who is responsible for your information

Borrowed Mirrors is operated by Equinexus Partners Ltd. For the purposes of UK data protection law, Equinexus Partners Ltd is the data controller for personal information collected through this website and Borrowed Mirrors activities.

Privacy contact: info@borrowedmirrors.com

Information we collect

Depending on how you interact with us, we may collect:

  • your name and contact details;
  • your organisation and professional role;
  • information you include in an enquiry, case contribution or expression of interest;
  • information needed to organise an event you are attending;
  • limited technical information needed to operate, secure and improve the website.

For invited events, you may choose to provide dietary, allergy or accessibility information. This can reveal health information and is treated as special category personal data.

How we use your information

We use personal information to:

  • respond to enquiries and maintain related correspondence;
  • manage book, media, research, partnership and institutional-conversation enquiries;
  • administer Research Circle and practitioner expressions of interest;
  • receive and review case contributions;
  • organise invitation-only gatherings and make appropriate attendance arrangements;
  • operate, secure and improve the website;
  • meet legal, regulatory or safeguarding obligations where applicable.

We do not add people who contact us through these forms to a general marketing list unless they separately choose to receive updates through an appropriate subscription route.

Our lawful bases

For most website enquiries and correspondence, we rely on our legitimate interests in responding to people who contact us, developing the Borrowed Mirrors inquiry and managing relevant professional relationships.

Where processing is necessary to take steps at your request before entering into an agreement, or to perform an agreement, we may rely on contractual necessity.

Where you register for a research or practitioner interest pathway that involves receiving related updates, we process the information you submit for that requested purpose and you may ask us to stop at any time.

Where you choose to provide health-related dietary, allergy or accessibility information for an event, we rely on your explicit consent for the special category element of that processing. You can withdraw that consent at any time, although we may then be unable to make the relevant arrangement for you.

Where required by law, we may process information to comply with a legal obligation.

Event information and special category data

We ask only for event information that is reasonably needed to organise attendance.

Dietary, allergy and accessibility information is optional. If you choose to provide it, we use it only to make appropriate arrangements for the relevant gathering and restrict access to people who need the information for that purpose.

We do not use this information for marketing or profiling.

Case contributions and information about other people

If you contribute a case or story, please avoid including names or other identifying details about third parties unless they are necessary and you have an appropriate basis for sharing them.

We encourage anonymised or de-identified case submissions wherever possible.

If a submission contains unnecessary personal information about someone else, we may redact or delete that information.

The Reckoning email subscription

If you subscribe to The Reckoning, we keep your email address, the wording of the consent you gave, and when you gave and confirmed it. We rely on your consent and use your address only to send new editions of The Reckoning.

We send a confirmation email before you are subscribed. Every edition includes an unsubscribe link, and you can also unsubscribe by emailing info@borrowedmirrors.com. We keep your address while you remain subscribed and stop sending as soon as you unsubscribe.

Who we share information with

Access is limited to authorised people supporting Borrowed Mirrors and, where relevant, Equinexus Partners.

We also use service providers to operate the website and database, including Lovable and Supabase, and email infrastructure used to deliver website notifications. These providers process information on our behalf under contractual and security arrangements.

For event logistics, necessary attendance information may be shared with relevant venue, catering or accessibility providers only to the extent needed to provide the requested service.

We do not sell personal information to advertisers.

International transfers

Some of our technology providers and their subprocessors may process personal information outside the United Kingdom.

Where a restricted international transfer takes place, we use an applicable UK adequacy regulation or appropriate contractual safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with any additional safeguards required by law.

You can contact us if you would like further information about the safeguards relevant to your information.

How long we keep information

We do not keep personal information indefinitely.

Our standard retention approach is:

  • general website and media/book enquiries: up to 12 months after the matter is closed;
  • research and practitioner expressions of interest: up to 24 months, unless you ask us to remove your information sooner or an active relationship continues;
  • institutional and hosted-conversation enquiries: up to 24 months after the last meaningful interaction, unless an active relationship or legal requirement justifies longer retention;
  • case contributions: normally up to 24 months, subject to earlier anonymisation or deletion where appropriate;
  • Nairobi Gathering dietary, allergy and accessibility information: removed within 30 days after the gathering unless required for a specific incident or legal reason;
  • remaining Nairobi RSVP information: removed within 90 days after the gathering unless there is a specific lawful reason to keep it longer.

Where a relationship develops into a contract, research collaboration or other formal engagement, relevant records may be retained for the period required for that relationship and applicable legal obligations.

Your rights

Depending on the circumstances, UK data protection law gives you rights to:

  • ask for access to your personal information;
  • ask us to correct inaccurate information;
  • ask us to erase information;
  • ask us to restrict how information is used;
  • object to certain processing, including processing based on legitimate interests;
  • receive information in a portable format where the right applies;
  • withdraw consent where processing is based on consent.

To exercise a right, contact info@borrowedmirrors.com. We may need to confirm your identity before acting on a request.

Complaints

If you have concerns about how we use your personal information, please contact us first at info@borrowedmirrors.com so that we can try to resolve the matter.

You also have the right to complain to the UK Information Commissioner's Office.

Cookies and technical data

The site does not currently use advertising cookies or behavioural marketing trackers.

Our hosting provider may use strictly necessary technical cookies or similar technology to route traffic, deliver the correct version of the website, maintain security and operate the service. Strictly necessary technology is used without a consent banner because the site cannot operate reliably without it.

Our hosting and infrastructure providers may also process limited technical information, such as IP address, browser/device information, request logs and website performance information, where needed to deliver, secure and maintain the service.

If we introduce non-essential analytics, advertising or behavioural tracking in future, we will update this notice and implement consent controls before those technologies are used.

Changes to this notice

We may update this notice as the Borrowed Mirrors website and activities develop. The latest version will always be published on this page.
